This video explains how to quickly and accurately process leave requests in Employment Hero payroll, following a system used by major Australian employers. Viewers will learn how to approve leave requests, edit dates, upload supporting documents such as medical certificates, and apply leave to payroll using both individual and bulk apply options. The video also demonstrates how to verify approved leave, check leave status, and finalize payroll. Designed for managers and payroll administrators under SCHADS, this guide helps ensure leave is handled efficiently without double handling, providing step-by-step instructions that can be followed by both humans and automated systems.
Hey everyone, let me show you the fastest way to process leave requests in your Employment Hero payroll without any double handling. We have implemented this exact same system for major Australian employers, ensuring leave is processed accurately every time. You will learn how to approve leave requests, upload supporting documents, and effectively apply leave to payroll using the bulk apply option. So, let's just get started.
As you can see, I have logged into this demo. You can log into this for your business. On the left-hand side, you can see there are multiple icons, so I'm just going to click on the one which indicates leave and click on "Manage Request."
In this example, I am assuming that the employee has applied for the leave, and now I just need to, as a manager, go and approve the leave and create the pay. I'm going to click on "Manage Request."
As you can see, I have two leave requests available. If I want to approve this leave, I can simply click on the green icon, and it will approve it. If I want to edit it, I can click on the blue icon, which opens up the request that the employee has filled out. I can now go and change the date. For example, if I just want to approve one day, I can go and click on that and resubmit the request.
If an employee has provided you with a document, for example, a doctor's certificate for their sick leave, you can upload that as well. The employee should also be able to upload it from their end. At this point, I'm just going to say "Submit Request." You can see the dates have changed, and now I am going to approve it. The leave is approved.
Similarly, if I am looking at the request and everything is good, I can click on "Approve," and the leave is approved. Once we've approved the leave and you want to check which employee had applied for annual leave, I can actually go to the leave status and see approved leave requests. I can select the date range and see that this particular leave was approved by me, when it was approved, and how many hours it was approved for.
Now we need to add the leave to the payroll. For the approved November pay period, I'm going to click on the payroll icon. Once I've created it, I have multiple payrolls sitting there. If it's an ongoing business, you would also have finalized multiple payrolls. I'm just going to click on this payroll and see if one of the requests falls in this period.
Once I open the payroll, you can see a couple of options on the top. I click on "Leave Request." Now, there are multiple employees listed, with leave without pay and other leave. If I want to apply leave for all the employees, I can just click on "Bulk Apply." If I want to make changes, I can go and change the units. I just want to say four for whatever reason, and I am going to say "OK, Apply." I can just click on these two and click on "Apply Leave."
It says "Partially Applied." That’s because I purposely changed it. The units requested by the employee were five, and I changed it to four. That is why it's indicating this now.
Now these two leaves are approved, which means we should have these leaves in the payroll. I'm just going to go into the employee's profile. We leave, take eight hours. Yes, we approved and taken eight hours. The leave is applied in the payroll.
If I wanted to apply leave annually for all the employees, I would have just clicked on that, and it would have become a part of payroll. I can just go on this particular payroll, and if I want to say everything is good, I can ignore the leave requests for now and finalize the payroll. If I want to save the remaining leave requests, I can see that these two we processed, and the remaining four we haven't processed.
This is the simplest way to approve leave and apply it to payroll. If you are unsure about any step or need guidance, you can always click on the question mark. When you click on the question mark, it gives you a step-by-step guide for the tab you are using. We were in payroll, and it’s giving me options that I can choose from. I can actually use this guide and apply it to the payroll.
