The Swag app puts Employment Hero Payroll’s power directly in your employees’ hands. In this video, you’ll learn how employees can manage their timesheets, submit leave requests, and access their pay information. We’ll also cover roster viewing, clock-in features, and how to handle break management through the mobile interface.
When they log into the Swag app, they’ll be greeted with the home screen. The only relevant module is the Work module, which I’ll be going through today. On the home screen, employees can see their last payslip, their next upcoming rostered shift, their current leave balances, and any pending leave requests. You’ll also notice a clock-in button at the top. This functionality can be enabled or disabled depending on whether you want employees to clock in and out or retrospectively enter their timesheets.
In this case, I’m going to clock in, and it’s as simple as that—they’re clocked in. When an employee is currently clocked into a shift, they’ll only see the Clock Out and Start Break buttons. When the shift is finished, they can click Clock Out, and that will complete the shift timesheet.
Now, I’ll go through the tabs at the top. The first tab is Payslips. Employees can see all their historic payslips, open them, and share or send them to themselves.
Next is the Leave module. Here, they can view current leave balances and all future leave requests. Approved leave requests are visible, as well as any pending requests submitted to a manager. Employees can also create a leave request by clicking Create Leave Request, selecting a leave category, choosing dates, adding notes or attachments, and then clicking Submit. The request will then appear in their list as pending.
Next is the Timesheet section. We can set it up so employees can only clock in and out and view their timesheets, or allow them to make manual adjustments or create timesheets from scratch. In this case, I have full access. I can see the shift we just clocked in and out for—it automatically flows through. If adjustments are needed, I can click on the timesheet and change the times. To create a new timesheet, I click Add New Timesheet, select the location I worked at, and enter my start and end times. Once submitted, the timesheet will sync with the PayAt system. Once fully synced, its status changes to Submitted, making it visible to managers or administrators.
Finally, there’s the Roster section. Employees can see all future shifts for the next two weeks, including next week’s assigned shifts, as well as historic shifts. Any shifts that are grayed out have already passed.
