Employment Hero Payroll’s user management system puts you in complete control of payroll access. Our certified specialists, who’ve implemented these security measures across multiple industries, know exactly how to optimize your settings.

In this video, you will learn how to set up role-based access, configure location restrictions, and establish approval hierarchies. We'll also cover report permissions, timesheet approvals, and qualification management settings.

Logging In and Accessing Settings

Firstly, you need to log in to your payroll file, and you will see the dashboard just like that. Then you go into Briefcase and Payroll Settings. Next, scroll down to Business Management and find "Manage."

Managing Full and Restricted Access

You will be able to give full access to your managers, like we have here, or you’ll be able to give restricted access. Let me just create another user. Here we have a little button "Add," click on that, and then you need to enter an email address. Here you just need to enter the first name and surname.

Then you scroll down. Here you have a choice to choose restricted access. You can give your manager restricted access based on a group. You can create your group here and choose any criteria you need, then save.

Setting Location-Based Access

Next is location. You can grant your manager access based on location. You can choose anything your business needs, for example, Office, Admin, or Location A. Then you'll be able to set what kind of access this particular manager has. For example, this manager can approve leave requests or particular documents. This manager can, for example, approve expenses, view costing, or manage rosters. You can tick or untick whichever is needed.

For example, to manage employee rosters, you also have an option to assign tasks here. Qualifications and timesheets can also be approved, created, or both. You can also initiate employee setup. After you have chosen particular restricted access, just click "Save."

Reporting Settings

Next tab is Reporting. Here you have a choice: no reports, all reports, or particular reports. For pay runs, you can select particular pay runs or all pay runs, including schedules. Choose whichever suits best, create, save, and then "Clock me in." That’s just for Kiosk.
