How to link ShiftCare clients to Pay Cat locations

This article explains how to connect your clients in ShiftCare to locations in Pay Cat for client-level reporting of costs

ShiftCare can attach the client to each timesheet as a location, allowing you to report on the wage expense of each client individually. This option also means you can set default sectors for each client to ensure your staff is paid correctly when working between sectors.

You should not use this option if any of the following apply:

  • You cost employees to their "home department" rather than the client that was serviced (as the timesheet's location will override each employee's primary location)
  • Your staff work group shifts (as timesheets can only have a single location, the entire shift will be assigned to a single client from those that were included on the shift)
  • Maintaining your client list is overly labour-intensive (as the client list will need to be maintained in both ShiftCare and Pay Cat)

To link your locations to your clients, first create a location in Pay Cat for each of your clients.

Enter:

  • The client's name
  • The client's state
  • The client ID from ShiftCare - first tick the box labelled This location correlates with a record in another system, then copy the ID from the client's URL in ShiftCare and enter it into Pay Cat
  • (Optional) Select the client's award sector under the Default Shift Conditions section. If this is left blank the employee's employment agreement will be used to determine the relevant sector

When exporting your timesheets, tick the Enable Client/Location Tracking option to ensure ShiftCare sends client details on each of your timesheets.
