This article will go through common errors you may get when using the Shiftcare Paycat Timesheet Importer extention and how you can troubleshoot them.

Employee not found in Keypay
This error indicates that the employee file in Shiftcare has not been mapped to the employee file in Paycat. What you will need to do is to add the Shiftcare employee ID to the Paycat employee External ID.
You can find the employee ID in Shiftcare by opening Shiftcare and navigating to staff list > select the staff member. The Employee ID is in the url.
You will then need to add this to the employee file in Paycat in the 'External ID' field, which can by found by opening the employee file and scrolling down to the bottom of the screen.
You can then navigate back to the Paycat Shiftcare timesheet importer and click the 'Preview Timesheet' button again. It should re-run the timesheets and the error should now be gone.

Overlaps with existing timesheet in Keypay
Note:
If you cannot find the employee in Keypay, you will need to create the employee file. Make sure you fill in the employee external ID field.
This error indicates that there are already timesheets in the Paycat system for this employee on this date for these times. You can double check that the correct timesheets are already imported in Paycat by opening Paycat and navigating to 'Approved Timesheets'. Search for the employee that the timesheet line is against and confirm if the correct timesheet is already in Paycat.
Note:
Make sure you select the status 'Any' as all timesheets from Shiftcare are imported as status 'Approved' by default.
If the timesheet is already in Paycat, you can delete it from Paycat as it will then be re-imported with the timesheet importer.
Once you have the timesheet deleted, you can then navigate back to the Paycat Shiftcare timesheet importer and click the 'Preview Timesheet' button again. It should re-run the timesheets and the error should now be gone.
Overlaps with another timesheet for this employee.
This error indicates that there are multiple timesheet lines in the timesheet file that overlap.
See the below example, we can see that there are two timesheets for Lyn Dee that have this error.
The first timesheets is:
23/10/24 10.00pm - 24/10/24 5.00am
The second timesheet is:
24/10/24 3.00am - 24/10/24 11.00am
There is an overlap between these two timesheets from 3.00am - 5.00am on the 24/10/24 which is causing the error.
To fix the error, you will need to correct the times of the two timesheets so they are not overlapping.
If this is being caused by a duplicate timesheet enter, you can delete one of the duplicate lines.
