Why is it hard to get timesheets from another system into payroll?
The hours are all there. They just aren't laid out the way payroll needs them.
Every system exports differently
Different systems use different column names and layouts, so an export from one doesn't look like an export from another.
There is more than start and finish
Breaks, kilometres and rates sit alongside the shift times, and all of it has to arrive in payroll in the right place.
Your system may not connect to Pay Cat
If your timesheet system or CRM has no Pay Cat integration of its own, the export is the way in.
Toolbox reads the export you already have and builds the import tab from it.

Just over two minutes, start to finish.
How does the Timesheet Shaper work?
Four steps. You only connect once.
1
Connect once
Install Toolbox in Google Sheets and paste in your Pay Cat Payroll API key. That's the most technical it gets.
2
Paste your export
Go to Extensions, then the Toolbox menu, then Time and Attendance, then Timesheet Shaper, and click Create source sheet. Paste your export in, keeping its original column headers in the first row.
3
Map your columns
Click Map columns for active sheet. Pick your Employee ID column, then your start and end times. If your time columns don't include dates, map a date column too.
4
Generate the import
Check Settings, then click Generate Import. Toolbox adds a Pay Cat Import tab with a row for each shift.
What goes in, and what comes out?
You tell Timesheet Shaper which of your columns is which. It builds the import from them.
What you map from your export
Employee ID Other ID Start Finish Kilometres Break duration Work type ID Duration Rate
Employee ID plus either separate start and end time columns or one combined start and end time column. Map a date column if your time columns don't include dates.
What the Pay Cat Import tab shows
Employee ID Employee name Start date time End date time Break start Break end Units Work type Work type name Status Rate
Two settings to check
✓The work type used for kilometres and mileage
✓A tick box for whether your timesheets include sleepovers
An example from the demo
✓A shift on 29 October with 5 kilometres, a 30 minute break and a rate of 23.12 comes out as a shift row, with the break start and end times filled in.
✓The 5 kilometres appear as their own row, with 5 in the Units column and a Kilometres work type.
✓Every row comes out with the status Approved.
What do the sheets look like?
Your export goes in on the source sheet. The Pay Cat Import tab comes out the other side.
