How employee records move between Pay Cat and Visualcare.
Pay Cat and Visualcare exchange employee data via API using the KeyPay connection. A "Send data to KeyPay" button on the worker profile takes a snapshot and creates the employee in Pay Cat, then a separate "Sync employee from KeyPay" button pulls that newly created employee back into Visualcare. This is a once-off action, it does not auto-update if data is later changed on Pay Cat.
Name and email are sent from Visualcare to Pay Cat when a worker profile is pushed across. Once the employee record is created in Pay Cat, it is synced back into Visualcare. Pay rate/classification, leave requests, and leave balances are not currently exchanged.
Pay rate/classification, leave requests, and leave balances are not exchanged as part of this sync.
Sync runs via two buttons on the worker profile in Visualcare: one sends the employee to Pay Cat, the other pulls the newly created employee back. This is a once-off action rather than an ongoing automatic sync.
Visualcare selected "Other" for this field, specifying Employee ID as the identifier used to match staff records.
How shift and timesheet data reaches Pay Cat for pay runs.
Visualcare supports a spreadsheet export of timesheets. This export does not currently include the headers required for direct import into Pay Cat/Employment Hero Payroll, so some reformatting is needed. Kilometres driven appear on the same row as the shift, rather than as a separate row.
Custom work types and service types can be mapped to Pay Cat cost items.
Active time has defined start and end times that overlap the sleepover period.
Travel time is captured in Visualcare and exported to Pay Cat as a timesheet line.

Which plans include the integration, and where to start.
Pay Cat Timesheet Interpretation is available from Tier 1 (Essential). Roster Interpretation (Award Aware Rostering) is available from Tier 2 (Advanced).
Visualcare are currently improving their Knowledgebase and transitioning to a new tool while updating pages. Redirects will be in place.
Live for all new Visualcare customers following a pilot, with rollout to existing customers currently underway. Pay Cat Connect appears on the roster via an "Interpret Award" button on each shift, and on the timesheet screen via a "Send to Pay Cat" button for interpreting timesheets.
Included within Visualcare's tiered pricing. Timesheet interpretation is available from Tier 1 (Essential), and Roster interpretation (Award Aware Rostering) is available from Tier 2 (Advanced). Visualcare pricing isn't published externally and is shared through a sales conversation.
